Custom Fields

Custom Fields

Custom Fields let you capture extra details that matter to your business, beyond the standard partner and lead information. You can add questions and data points to partners, leads, deals, and contacts.

Where to find it: Settings, then Custom Fields (under Partner Program). Admin or Partnerships team members can use this page. You need a paid Journeybee plan.


Four categories

The page has four tabs at the top, one for each area you can add fields to:

  • Partners

  • Leads

  • Deals

  • Contacts

If you have more than one partner type turned on, a second row of tabs lets you edit fields for each partner type separately. Distributor partners do not have their own leads or deals.


Standard Fields

For Partners, Leads, and Deals, the page shows the built-in fields that come with Journeybee (like Company Name, Email, Deal Value). For Leads and Deals you can turn on Required or Hidden for each standard field. For Partners the standard fields are shown for reference only.


Custom Fields list

Below the standard fields you see your custom fields. Each row shows the name, type, options, and toggles for Required and Shared.

  • Required: The field must be filled in before a form or entry can be saved (not shown for Partners).

  • Shared: The field is visible to both your company and the partner, so you can work on it together.

Each row also has edit, duplicate, and delete buttons (admins and partnerships team members only).


Field types

When you create a custom field, you pick one of these types:

  • Text: Short text answers.

  • Number: Numbers only.

  • Date: A date picker.

  • Boolean (True/False): A yes/no choice.

  • Select: A dropdown with options you set.

  • Multi Select: A dropdown where several options can be picked.


Adding a custom field

  1. Click Add Field at the top.

  2. Type a Field name.

  3. Pick a Field type.

  4. Pick which Partner Types see this field.

  5. Tick Shared if both your company and the partner should see it.

  6. For Select and Multi Select, add your options one by one.

  7. Click Create.

You cannot change a field's type after you create it, but you can rename it and change its options.


Duplicating a field to other partner types

If you have more than one partner type, you can copy a field to the others without retyping it. Click the duplicate icon, pick the partner types to copy it to, and click Duplicate.


Field Rules (Leads and Deals only)

For Leads and Deals you can also set up Field Rules. Rules let one field automatically change another. For example, when a “Region” field is set to “EMEA”, a “Pipeline” field can be set for you.

There are three kinds of rule:

  • Show Field: Show a second field when the first one matches certain values.

  • Set Value: Put a value into another field automatically.

  • Map Values: Match each value of the first field to a value in the second field.

You can also lock the target field so it cannot be changed by hand when the rule applies. See the Custom Field Rules guide for full details.


Saving your changes

  • Use the Save button at the top to keep changes to field names, Required, Shared, and standard field settings.

  • Editing a single field's options saves that field on its own.

  • You cannot delete a field that is being used by a commission. Remove it from the commission first.


Good to know

  • Only admins and partnerships team members can create and change custom fields.

  • Deleting a field removes the data stored in it, so check before you delete.

  • Shared fields help you and your partner keep the same information up to date.

  • Use clear, simple field names so everyone understands what to enter.
