Partner Portal - Creating Portals

Before You Start

Figure out:

  1. What partner types you have (referral, reseller, distributor, etc.)

  2. If you need categories, tiers, or stages

  3. What partners need to do in their portal

  4. What content you'll include (docs, videos, etc.)

Portal Structure

Each portal has:

  • Pre-built rooms - Standard rooms (Overview, Leads, Deals, etc.)

  • Custom rooms - Rooms you build with blocks

  • Navigation - Sidebar menu

  • Access controls - Who sees what

Creating a Room

Step 1: Start Creating

  1. Click Portals in main nav

  2. Click Create Room

  3. Select partner type (if you have multiple)

  4. Choose room type

Pre-defined room types:

  • Overview, Leads, Deals, Resources, Projects, Contacts, Messages, Brand Guidelines, Shared Files, Distributor Partners

Custom room types:

  • Custom Room (start from scratch)

  • Custom from Template (start from saved template)

  1. Name your room

  2. Click Create

Step 2: Build Content (Custom Rooms Only)

Adding blocks:

  1. See blocks sidebar on right

  2. Click a block type to add it

  3. Blocks appear at bottom

Block types:

  • Content: Text, Introduction, Analytics

  • Interactive: Action Bar, Banner, Tasks, Goals, Link

  • Media: Image, Video, Document, Embed

Configuring blocks:

  1. Click any block to open settings

  2. Add content, upload files, set options

  3. Changes save automatically

Arranging blocks:

  • Drag to reorder

  • Put important stuff at top

Step 3: Configure Settings

Click Settings tab:

Basic:

  • Room name

  • Icon (custom rooms only)

  • Description (internal notes)

Status:

  • Draft - Hidden from partners (default for new custom rooms)

  • Live - Visible to partners with access

Step 4: Set Access Controls

Click Access tab to choose who sees this room:

Options:

  • No restrictions (all partners of this type)

  • Specific partnerships

  • By category

  • By tier

  • By stage

  • By contact tags

Leave empty = all partners. Add restrictions = only matching partners.

Step 5: Publish

  1. Make sure content is complete

  2. Check access controls

  3. Set status to Live

  4. Done! Partners can now see it

Managing Rooms

Editing:

  1. Go to Portals

  2. Click a room card

  3. Make changes

  4. Exit when done

Filtering: Use filter sidebar to:

  • Show Draft or Live rooms

  • Filter by partner type

  • Preview as a specific partner

  • See accessible/non-accessible rooms

Using Templates:

  1. Open a custom room

  2. Click Save as Template

  3. Name it

  4. Use it when creating new rooms

Hiding Rooms: Set to Draft status to hide without deleting.

Deleting Rooms: Click Delete in settings. Room is archived (can be restored if needed).

Common Setups

Minimal (3-4 rooms)

  • Overview

  • Leads

  • Resources

  • Messages

Standard (5-7 rooms)

  • Overview

  • Leads

  • Deals

  • Resources

  • Brand Guidelines

  • Messages

  • Contacts

Advanced (8+ rooms)

  • All relevant pre-defined rooms

  • 2-4 custom rooms for specific needs

  • Progressive access based on tiers or stages

Start Simple

  • Begin with 3-5 essential rooms

  • Add more as you learn what partners need

  • Don't overwhelm with options

Build for Partners

  • What do they need daily?

  • What takes too many clicks?

  • Make common actions easy

Use Consistent Design

  • Similar layouts across rooms

  • Same blocks for similar content

  • Consistent labels and icons

Test First

  • Preview as a partner

  • Click every link

  • Test videos and downloads

  • Check on mobile

Get Feedback

  • Launch with pilot group

  • Ask what's valuable

  • Find what's missing

  • Iterate based on usage

Keep Fresh

  • Update metrics regularly

  • Replace outdated docs

  • Add new training

  • Remove expired content

Each room restricted to appropriate stage.

Tiered Benefits Portal

All tiers:

  • Overview

  • Leads

  • Resources

  • Messages

Silver+:

  • Marketing co-op room (custom)

  • Advanced training room (custom)

Gold+:

  • Deal registration

  • Executive sponsor room (custom)

Platinum only:

  • Strategic planning room (custom)

Each room restricted to appropriate tiers (cumulative).

Troubleshooting

Room not appearing?

  • Is it Live (not Draft)?

  • Does partner type match?

  • Are access controls too restrictive?

  • Is partnership correctly categorised?

Blocks not displaying?

  • Is content formatted correctly?

  • Are files uploaded?

  • Are embed codes valid?

Videos not playing?

  • Check embed code

  • Verify video is public

  • Use YouTube, Vimeo, or Loom

Documents not downloading?

  • Re-upload file

  • Check file size limits

Tips

Templates:

  • Save your best designs

  • Name them clearly

  • Keep them updated

Cross-linking:

  • Use Action Bar to link between rooms

  • Create navigation shortcuts

  • Guide partners through workflows

External Tools:

  • Embed CRM dashboards

  • Include project management tools

  • Show real-time data

Analytics:

  • Show partners their metrics

  • Display progress towards goals

  • Celebrate wins
