Creating Portal Rooms

Portal rooms are the building blocks of your partner portal. Each room is a dedicated workspace where partners can do specific tasks, like submit leads, view deals, or download resources. You can create pre-built rooms or build your own custom rooms from scratch.

Where to find it: Click Portals in the main navigation.


The Portals page

The Portals page shows all your rooms in a table. You can:

  • Filter by partner type: Switch between Referral, Reseller, and Distributor views using the tabs at the top.

  • Search rooms: Use the search box to find a room by name.

  • Filter by status: Show All, Draft, or Live rooms.

  • Preview as a partner: Select a specific partner to see which rooms they can and cannot access.

  • Reorder rooms: Drag rooms to change the order they appear in the partner sidebar.


Creating a room

  1. Click the Create button in the top right.

  2. If you have multiple partner types, choose which type this room is for (Referral, Reseller, or Distributor).

  3. Choose a room type from the list (see below).

  4. If you chose From Template, pick a saved template or skip to start from scratch.

  5. Enter a room name and click Create.


Room types

Room types are grouped into categories:

Custom

  • Custom Room: Build a room from scratch using content blocks.

  • From Template: Start from a saved room template.

Sales

  • Leads: Lead submission and tracking.

  • Deals: Deal pipeline and tracking.

  • Payments: Payments and invoices. Requires the Manual Payments module.

Marketing

  • Campaigns: Marketing campaigns. Requires the Marketing module.

Collaboration

  • Projects: Kanban project management. Requires the Projects module.

  • Resources: Document and resource library.

  • Certifications: Training and certifications. Requires the LMS module.

  • Shared Files: One-to-one file sharing.

Communication

  • Contacts: Team directory.

  • Messages: Direct messaging with Slack and Teams support.

  • Branding: Brand assets and guidelines.

Partner Management

  • Overview: Partnership dashboard. Not available for distributor partners.

  • Partners: Reseller roster for distributors. Only available for distributor partners.

  • MDF: Market Development Funds. Requires the MDF module.

Some room types require modules to be enabled on your account. If a module is not enabled, the room type will show an Upgrade label. Each pre-defined room type can only exist once per partner type.


The room builder

After creating a room, the room builder opens with tabs at the top. The tabs available depend on the room type:

Content tab

For custom rooms, this is where you add and arrange content blocks. For Overview rooms, you can toggle quick action buttons and partner details. For Leads and Deals rooms, you can configure which fields appear on cards.

Custom rooms also have a Show section navigation toggle, which adds a table of contents sidebar to the room for easy navigation of longer pages.

Engagement tab

View analytics on how partners are engaging with this room, including views and interactions over time.

Access tab

Control which partners can see this room. See the Portal Access Management article for full details.

Settings tab

  • Room Name: The name partners see in the portal sidebar.

  • Internal Label: An optional name only your team sees. Useful when the partner-facing name needs to be different from your internal name.

  • Room Icon: Pick an icon from the Phosphor icon library.

  • Status: Set to Live (partners can see it) or Draft (hidden from partners).

  • Save as template (custom rooms only): Save the room layout and blocks as a reusable template.

  • Remove room: Archive the room. This removes it from the partner portal but keeps the data.


Building content with blocks

Custom rooms are built using blocks. Click a block in the sidebar to add it to the room, then click the block to configure it. Drag blocks to reorder them.

Build with Buzz

For custom rooms, you can use the Build with Buzz button to let Journeybee's AI assistant help you create room content. Buzz can suggest blocks, write text, and arrange the layout for you. This feature requires the AI module to be enabled.


Managing rooms

  • Editing: Click any room in the list to open the room builder and make changes.

  • Hiding a room: Set the room status to Draft to hide it from partners without removing it.

  • Removing a room: Click Remove room in the Settings tab. The room is archived and removed from the portal, but the data is kept.

  • Using templates: Save custom rooms as templates, then use From Template when creating a new room to reuse the layout. Templates are per partner type.


Good to know

  • New custom rooms start in Draft status. Set them to Live when you are ready for partners to see them.

  • The room builder shows a count of how many partners have access to each room.

  • You can reorder rooms by dragging them in the table. The order determines how they appear in the partner sidebar.

  • Each pre-defined room type can only exist once per partner type. Custom rooms have no limit.
