Emailing Partners
You can email a partner's contacts straight from the partner's page in Journeybee, without switching to a separate mail client. This keeps you in touch with partners and keeps a record of every conversation in one place.
Who can use this: Team members with the Admin or Partnerships role. Partner users signing in through the portal do not have this feature.
Where to find it: Open any partner from Partners and click Compose Email (envelope icon) in the top right of the partner's page.
Composing an email
Open a partner's page.
Click the Compose Email button (envelope icon) in the top right.
The composer opens with the partner's contacts available as recipients.
Recipients are drawn from the partner's contacts, so add the people you want to reach to the partner first if they are not already listed.
Choosing who to send from
Use the From dropdown to choose which email address the message is sent from. The options you see depend on what is connected:
Your Gmail or Outlook: Send from your own personal connected mailbox. This only ever uses your account, never a colleague's.
Company Gmail or Outlook: Send from a shared company mailbox that an admin has connected.
Journeybee: Send from Journeybee's built-in email service. This is always available, even when no Gmail or Outlook account is connected.
Only mailboxes that are currently connected appear here. To set up a shared company mailbox, see Connecting a company Gmail account or Connecting a company Outlook account.
Choosing recipients
Pick one or more of the partner's contacts as To recipients. You can also add CC and BCC recipients (also chosen from the partner's contacts), but only when you are sending to a single To recipient.
When you send to multiple To recipients, each person receives their own separate email and cannot see the other recipients' addresses. This happens automatically, so there is no risk of accidentally revealing your recipient list. The CC and BCC fields are disabled while more than one To recipient is selected.
Using templates
Templates let you reuse the same subject and body across emails, so you do not have to start from scratch each time.
Use a template: Open the Templates menu and choose a saved template. If you have already started writing, Journeybee asks you to confirm before it replaces your draft.
Save as template: After writing an email, open the Templates menu, click Save as template, give it a name and save.
Delete a template: Open the Templates menu and click the trash icon next to the template you want to remove.
Templates are shared across your team, so anyone with permission can use, save or delete them.
Using variables
Variables personalise each email automatically. As you write, type {{ to open the variable menu, then pick the value you want to insert. When the email is sent, each variable is replaced with the right value for that contact.
Available variables include the contact's first name, last name and email, the partner's name, category and tier, and any custom fields you have set up for partners. This is the same variable system used across Journeybee. For the full list and how it behaves, see Dynamic content variables.
Reviewing and sending
Write your subject and message, and choose your recipients.
Click Review emails to see a summary before anything is sent.
If you are sending to several people, use the arrows at the top of the review to preview exactly how the email will look for each recipient.
Check everything reads correctly, then click Send email.
The send button shows how many emails will go out, for example Send email (3).
Where to find sent emails
Every email you send to a partner appears in the Emails tab on the partner's page. Each entry shows the subject, when it was sent, how many messages were sent or failed, and a badge for the service used (Gmail, Outlook or Journeybee).
Click an email to open its details and see the delivery status for each recipient, including whether the message was opened, clicked or bounced. For a company-wide view of all outgoing email and tracking, see Email in Settings.
Sending to many partners at once
Composing from the partner page is designed for one-to-one and small group messages to a single partner's contacts. To send a marketing email to many partners at once, use a campaign instead. See Creating a campaign and Marketing email templates.
Troubleshooting
A connected mailbox is missing from the From dropdown: Only mailboxes that are currently connected appear as sender options. If a Gmail or Outlook connection has expired or been disconnected, it drops off the list until it is reconnected. Reconnect it from settings (see Company Gmail or Company Outlook).
The provider badge is not the sender I chose: If your chosen Gmail or Outlook mailbox stops working at the moment of sending, Journeybee automatically sends via its built-in email service so your message still goes out. The badge on the Emails tab reflects the service that was actually used.
An email shows a "failed" count: When one or more recipients could not be delivered to, they are recorded and shown as a failed count on the Emails tab. Check the email's details to see which recipients failed, then confirm their email addresses on the partner's contacts and try again.
Good to know
Each To recipient always receives their own separate, personalised email. Recipients cannot see each other's addresses.
CC and BCC are only available when sending to a single To recipient. They are disabled automatically when you select multiple To recipients.
The From dropdown lets you choose the sender every time you compose. You are not locked in to one option.
Templates are shared across your team, so anyone with permission can use or manage them.
Variables are replaced when the email is sent, so each contact sees their own personalised version.
Attachments are not supported when composing from the partner page. Share files with partners through partner resources or a shared room instead.
To connect Gmail or Outlook, see Company Gmail and Company Outlook.
