Lead Import (CSV)

If you have a backlog of leads in a spreadsheet — from an event, a previous system or a partner hand-over — you can import them into Journeybee from a CSV file. A five-step wizard walks you through choosing the lead type, uploading and mapping your file, and assigning partners, and shows you a per-row result with a downloadable error report when it finishes. Reseller imports can even create deals at the same time.

Where to find it: Go to Leads and click Import (top right, next to Create lead).

Who can use this: Any member of your team. Partners can also import leads from their portal's Leads room.


Before you start

  • Your CSV can contain up to 500 rows of leads, plus a header row. For larger lists, split the file and run several imports.

  • The first row should be column headers (for example Company Name, Email, Deal Value).

  • All leads in one import get the same type and direction — run separate imports for received referrals, sent referrals and reseller leads.

  • If you use a connected CRM, you can map columns holding CRM record IDs so they are saved on the imported leads.


Step 1: Import Type

Choose what you are importing:

  • Referral - Received: Leads partners have passed to you.

  • Referral - Sent: Leads you have sent to partners.

  • Reseller Leads: Leads belonging to reseller partners. Reseller imports can also create a deal per row.


Step 2: Upload CSV

Upload your file. Journeybee reads the headers and automatically suggests mappings for the fields it recognises — you can adjust them in the Map Fields step.


Step 3: Configure

  • Partner assignment: Either assign every lead in the file to one partner you pick, or choose a CSV column that names the partner on each row — Journeybee lists each unique value in that column and you match it to one of your partners.

  • Attribution: Optionally tick one or more attribution sources to apply to every imported lead — see Attribution.

  • Deal stage (reseller imports only): If your file includes a deal stage column, map each unique value to one of your pipeline stages, or choose not to assign a stage.


Step 4: Map Fields

Match your CSV columns to Journeybee fields. A live preview shows the first row's value for each mapping so you can sanity-check as you go.

  • Lead fields: Company name, First name, Last name, Email, Phone number, and Tags.

  • Custom fields: Lead custom fields for the import's partner type — see Custom Fields.

  • Deal fields (reseller imports only): Deal name and Deal value, plus deal custom fields, to create a deal alongside each lead.

  • CRM record IDs: Shown only for the CRMs you have connected — map the column holding each lead's (and, for resellers, each deal's) record ID so the imported records are linked to your CRM.


Step 5: Import

Click Start Import. Leads are imported in small batches with a live progress bar. When it finishes, the results screen shows how many leads (and deals) were imported, lists any rows that failed with the reason, and offers a Download Errors report as a CSV so you can fix and re-import just those rows.

Your progress through the wizard is saved as you go — if you close the page mid-setup, you can pick up where you left off within 24 hours, or start fresh with Clear saved data.


Troubleshooting

  • "CSV file cannot exceed 500 rows." Split your file into chunks of up to 500 leads and import each separately.

  • Some rows were skipped. A row is skipped when a required custom field has no valid value. Check the error report, fill the missing values in your file, and re-import those rows.

  • A lead imported but its deal didn't. On reseller imports the lead and deal are created separately — if the deal part of a row fails (for example an invalid deal value), the lead is still created and the deal failure is listed in the error report.

  • The wizard reopened with old settings. Saved progress is kept for 24 hours. Click Clear saved data to start a new import from scratch.


Good to know

  • Imported leads are marked as imported in their history, so you can always tell them apart from manually created leads.

  • Importing does not update existing leads — every row creates a new lead. Check for duplicates before importing.
