Rolldog
Connect your Rolldog CRM to Journeybee to keep your partner, lead, deal, and contact data synchronised between both platforms. This integration enables bi-directional data flow so your sales team and partner managers always have up-to-date information.
Overview
The Rolldog integration connects your Rolldog CRM account to Journeybee using secure client credentials authentication. Once connected, you can:
Sync leads between Journeybee and Rolldog
Sync deals (opportunities) between both platforms
Sync partner accounts and contacts
Sync notes and activities
Import existing Rolldog accounts as Journeybee partners
Deep-link directly from Journeybee records to their Rolldog counterparts
Assign users to leads and deals across both systems
Data is automatically synchronized every 15 minutes, with changes flowing in both directions based on your configuration.
Getting Started
Prerequisites
Before you begin, make sure you have:
A Rolldog CRM account with API access enabled
Your Rolldog Client ID and Client Secret (obtained from your Rolldog account settings)
Admin access to your Journeybee account
An active Journeybee subscription (the integration is not available on free plans)
Step 1: Navigate to Integrations
Log in to your Journeybee account
Go to Settings from the sidebar
Select Integrations
Find Rolldog in the list of available CRM integrations
Step 2: Connect Your Rolldog Account
Click Connect on the Rolldog integration card
Enter your Client ID in the first field
Enter your Client Secret in the second field
Click Submit to authenticate
Journeybee will securely exchange your credentials with Rolldog to establish the connection. If the credentials are valid, you will see a success confirmation and be taken to the configuration page.
Important: Your credentials are stored securely and encrypted. Journeybee uses the OAuth client credentials flow to obtain access tokens, which are automatically refreshed when they expire.
Step 3: Configure Field Mappings
After connecting, you will be presented with the configuration page where you can map fields between Journeybee and Rolldog. The configuration is organized into several sections:
Partner Sync Settings
Configure how Journeybee matches new partners to existing Rolldog accounts:
Account unique field for matching: For each partner type (Referral, Reseller, Distributor), select which Journeybee partner field should match against which Rolldog account field to prevent duplicates. For example, you might match the partner "Email" field in Journeybee to the "Email" field in Rolldog.
Contact unique field for matching: Select a unique field to prevent duplicate partner contacts from being created.
Create new Rolldog Account: Choose whether Journeybee should automatically create a new Rolldog account when a matching partner is not found.
Lead Sync Settings
Configure how leads and deals synchronize:
One-way creation sync: When enabled, new leads and deals in Journeybee create records in Rolldog, but subsequent updates in Journeybee will not modify the Rolldog records. Changes made in Rolldog will continue to sync back to Journeybee. This does not affect notes.
Unique field matching: Choose how the integration should handle existing records:
Create records only (no matching): Always create new records in Rolldog without checking for duplicates.
Match existing records by unique field: Use a unique field (such as Email) to find and link existing records instead of creating duplicates.
Per-partner-type field matching: For each partner type, configure which Journeybee fields map to which Rolldog fields for Contacts, Accounts, Leads, and Opportunities.
Sync on Lead Status: Select which lead statuses should trigger a sync to Rolldog. Deals will also use the connected lead's status. Leave empty to sync on all statuses.

Map each of your Journeybee deal stages to the corresponding Rolldog opportunity stages. This ensures deals move through the correct pipeline stages in both systems.

Importing Partners from Rolldog
During the configuration process, you can import existing Rolldog accounts as Journeybee partners:
In the Import section, you will see a list of your Rolldog accounts
Accounts that have already been imported will be marked with "Imported"
Select the accounts you want to import by checking their boxes
Any contacts associated with the selected accounts will be shown and automatically invited when imported
Choose the partner type for the imported accounts (Referral, Reseller, or Distributor)
Click Save to begin the import
Important: Only accounts with contacts that share the same email domain can be imported. The contacts will receive an invitation to join as partners in Journeybee.
How Synchronization Works
Automatic Sync
Once configured, Journeybee automatically syncs data with Rolldog every 15 minutes. During each sync cycle:
Journeybee checks for records that were recently updated in Rolldog
Matching records in Journeybee are updated with the latest data from Rolldog
When leads or deals are created or updated in Journeybee, the changes are pushed to Rolldog

Deep Links
When a Journeybee record is linked to a Rolldog record, you will see a Rolldog icon next to the record. Clicking this icon opens the corresponding record directly in Rolldog. Deep links are available for:
Leads (links to the Rolldog lead, contact, or account)
Deals (links to the Rolldog opportunity)
Partners (links to the Rolldog account)
Contacts (links to the Rolldog contact)
Troubleshooting
Connection Failed
Problem: You receive an error when trying to connect your Rolldog account.
Solution:
Verify that your Client ID and Client Secret are correct
Ensure your Rolldog account has API access enabled
Check that your Rolldog subscription includes API access
Try re-entering your credentials and submitting again
Data Not Syncing
Problem: Changes made in Rolldog are not appearing in Journeybee (or vice versa).
Solution:
Verify that the integration is still connected by checking Settings > Integrations
Ensure the relevant entity type (leads, deals, partners) is enabled in your configuration
Check that the field mappings are correctly configured
Automatic sync runs every 15 minutes, so recent changes may take up to 15 minutes to appear
If you enabled "One-way creation sync," updates from Journeybee to Rolldog will only occur on initial creation
Duplicate Records
Problem: Duplicate records are being created in Rolldog.
Solution:
Go to your integration configuration
Under Lead Sync Settings, select Match existing records by unique field instead of "Create records only"
Configure the unique field mappings for each entity type (Contact, Account, Lead, Opportunity)
Choose fields that have consistent, unique values in both systems (such as Email)
Partner Import Not Working
Problem: Some Rolldog accounts cannot be imported as partners.
Solution:
Ensure the account has at least one contact with an email address
All contacts for the account must share the same email domain
Check that the account has not already been imported (marked as "Imported" in the list)
Authentication Expired
Problem: The integration stops working and shows an authentication error.
Solution: Journeybee automatically refreshes authentication tokens. If the token cannot be refreshed:
Go to Settings > Integrations > Rolldog
Disconnect the integration
Reconnect using your Client ID and Client Secret
Reconfigure your field mappings
Best Practices
Set up unique field matching before your first sync to prevent duplicate records. Email is typically the most reliable unique field.
Map all relevant fields during initial configuration. Adding field mappings later will only affect new records; existing records will not be retroactively updated.
Use lead status sync filters if you only want certain lead statuses to trigger syncs. For example, you may want to wait until a lead is "Converted" before creating it in Rolldog.
Review imported partners after the initial import to ensure all contacts were correctly associated.
Test with a small batch by importing one or two Rolldog accounts first, verifying the data appears correctly in Journeybee, then proceeding with the rest.
Limitations
Sync frequency is fixed at every 15 minutes; real-time sync is not available
Notes sync is one-directional (Journeybee to Rolldog only)
Custom fields in Rolldog are mapped to standard Journeybee fields; custom-to-custom field mapping depends on your Journeybee custom fields configuration
The integration requires an active (non-free) Journeybee subscription
Rolldog accounts can only be imported as partners if their contacts share the same email domain
