Outlook (Personal Email)
Connect your own Outlook account and the emails you write to partners in Journeybee go out from your address, through Microsoft 365, rather than from the shared company address or Journeybee's default sender. Partners see a message from you, and their replies land in your Outlook inbox.
This is the personal side of the Outlook integration. An admin sets up the shared company address first (see Outlook (Company Email)), and after that each teammate can add their own mailbox.
Where to find it: Go to Settings, then Integrations. The Outlook card sits under the Email section.
Who can use this: Team members with a non-admin role, once an admin has connected the company Outlook address. Admins clicking the Outlook card open the company connection instead.
Before you start
An admin must have connected the company Outlook address already. Until then the Outlook card does not appear for you.
Have the Microsoft account you want to send from ready to sign in. It has to be your own mailbox: Journeybee sends with the account you sign in as, and never from an alias, a shared mailbox or a delegated account.
Journeybee asks Microsoft for three permissions only: Mail.Send (send a message), User.Read (see which account is connected) and offline_access (stay connected without asking you to sign in again). It cannot read, search or delete anything in your mailbox.
If your Microsoft tenant blocks users from consenting to apps, a Microsoft administrator needs to grant those permissions for your organisation first. See Troubleshooting.
Connecting your mailbox
Go to Settings, then Integrations.
Click the Outlook card. You are sent to Microsoft to choose an account.
Pick your own account and approve the request when prompted.
You come back to the Integrations page. Your mailbox is now available as a sender the next time you compose an email.
Your personal connection is yours alone. It does not change the company address, nobody else can send as you, and you cannot send as a colleague.
Sending from your mailbox
Open a partner and click Compose Email. The From dropdown lists the senders available to you:
Your Outlook: your own connected mailbox. It is preselected whenever it is connected, because it is usually what you want.
Company Outlook (or Company Gmail): the shared address an admin connected.
Journeybee: the built-in sender, always available.
You choose the sender every time you compose, so you are never locked in. See Emailing Partners for the full compose flow.
What changes once connected
Emails are delivered by Microsoft from your address, so they carry your domain's reputation rather than Journeybee's. Microsoft always sends as the signed-in mailbox, so the address partners see is exactly the account you connected.
Sent mail appears in your Outlook Sent Items, and replies go to your Outlook inbox, not into Journeybee.
Journeybee still records every send in the partner's Emails tab, with an Outlook badge showing which service delivered it.
Your Outlook signature is not added. Journeybee sends exactly what you wrote in the composer, so add a sign-off to the message or a template if you want one.
Microsoft's own sending limits apply to your account. Compose is for one-to-one and small group emails: campaigns and notifications always use the company address or Journeybee's sender, never your personal mailbox.
Disconnecting and reconnecting
To disconnect, remove Journeybee's access from your Microsoft account: open your Microsoft account, go to Privacy, then Apps and services (or ask your Microsoft administrator for work accounts), and remove Journeybee. The next time Journeybee tries to use the mailbox it will find access revoked, drop it from the From dropdown and send that message via Journeybee instead.
To reconnect, click the Outlook card under Settings, then Integrations, and sign in again. Your previous connection is replaced.
Disconnecting never deletes anything. Emails you already sent stay in the partner's Emails tab.
If an admin removes the company Outlook integration, every teammate's personal Outlook connection is removed with it.
Troubleshooting
"Need admin approval" during sign-in. Your Microsoft tenant does not let users consent to apps themselves. A Microsoft administrator needs to approve Journeybee's permissions (Mail.Send, User.Read, offline_access) for the organisation. If you still see the prompt after that, contact support.
I cannot see the Outlook card. Personal connections only become available after an admin has connected the company Outlook address. Ask an admin to set it up first.
I am an admin and the card opens the company settings. Admins manage the company connection from the card. Personal mailboxes are connected by non-admin team members.
Microsoft signed me in as the wrong account. The sign-in screen asks you to pick an account. Choose Use another account and sign in as the mailbox you actually want to connect.
I approved at Microsoft but nothing changed. The sign-in may have timed out (you have ten minutes to complete it) or been cancelled. Click the card and try again. If it keeps failing, contact support.
Your Outlook is missing from the From dropdown. Only working connections are listed. Microsoft revokes access when your password changes, when an administrator withdraws consent, or when the token expires. Reconnect from the Outlook card.
An email went out from Journeybee instead of my Outlook. If your mailbox stops working at the moment of sending, Journeybee sends via its built-in service so the message still goes out. It never falls back to the company address on your behalf. Reconnect your mailbox and the next send comes from you again.
A partner replied and I cannot see it in Journeybee. Replies arrive in your Outlook inbox, not in Journeybee.
Good to know
The company connection and your personal connection are separate. Reconnecting yours never touches the shared address.
Journeybee cannot read your mail. The only permissions requested are to send a message and to see which address it is sending from.
Prefer Google? See Gmail (Personal Email), which works the same way.
For the shared company address, see Outlook (Company Email). For the other tools you can connect, see Integrations.
